Administrative Assistant to the Dean of Faculty

We are currently seeking an organized, hardworking Administrative Assistant to support the Dean of Faculty. The Administrative Assistant understands and promotes the school’s mission, vision, objectives, and policies both within and outside the school community. The Administrative Assistant plays a central role in ensuring an orderly, responsive, and open school. In addition to maintaining administrative responsibilities, the Administrative Assistant functions as the primary person for all faculty-related tasks.
Responsibilities & Duties
- Serves as the main point of contact for the Dean of Faculty in all faculty-related matters
- Partner with academic department leaders to coordinate the hiring and recruitment of new educators
- Support programs for the orientation of new teachers and for in-service training of all teachers, in conjunction with the academic department leaders
- Coordinate the annual update of the Faculty Handbook
- Coordinate with academic department leaders to create and evaluate the teacher evaluation and mentoring systems
- Schedule and coordinates student surveys
- Help to plan and manage logistics, record keeping, and preparations for school events and meetings (faculty meetings, in-service, summer institutes) and activities as needed (distribution of materials, calendar maintenance, setting up for special events, reserving buses, etc.)
- Support the Administrative Assistants of the Middle and Upper School with Moving Up, Commencement ceremonies, and substitute coverage
Desired Qualifications
- A warm demeanor with strong interpersonal skills
- Proficiency in Microsoft Office, Google Suite of Applications, PowerSchool, Veracross
- Strong writing and editing skills
- Ability to learn new software
- Excellent organizational skills and ability to prioritize workload
- Ability to work independently and as part of a team
- Experience in an educational environment desired but not necessary
Schedule
This is a 12-month, full-time position. Workdays are Monday through Friday, during normal school hours (7:45 a.m. to 4:00 p.m.).

Executive Assistant to the Director of Advancement

The Executive Assistant to the Director of Advancement is an organized, enthusiastic, and accomplished professional with outstanding interpersonal, organizational, and communication skills. This person demonstrates an excellent ability to multi-task and coordinate effectively with Advancement Team members, School leadership, faculty, staff, parents, and students to achieve organizational goals. This person is responsible for managing the day-to-day activities in the Advancement Office and assisting Advancement Team members with the primary responsibility of supporting the Director of Advancement (DA). This position reports directly to the DA.
Key areas of responsibility:
Support the Director of Advancement (DA)
- Receive and screen phone calls to DA
- Receive, screen and welcome visitors to DA
- Schedule and coordinate meetings and appointments on DA’s calendar
- Keep DA on schedule for meetings and appointments
- Act as DA’s liaison to School community
- Make reservations & travel plans as needed for DA
- Initiate special projects at the direction of the DA
- Research as needed by DA
- Prepare and modify documents including correspondence, reports, drafts, memos and e-mails
- Manage Budget Expense invoices and receipts
- Scan invoices and expenses into shared file and submit to Business Office
- Administer expense reports
- Rectify departmental Amex bill
- Assist in preparation for departmental events and attend events when necessary
- Orchestrate logistics for departmental outings
Assist Advancement Team Members
- Manage the Advancement Office Calendar in coordination with the School’s Master Calendar
- Monitor Faculty/Staff communications and update office of important dates or information
- Produce and distribute weekly Action Item reports from departmental meeting
- Responsible for outgoing and incoming mail and distribution to team members
- Provide support relating to the work of the Team members; scheduling meetings, producing support material, coordinating needed follow up and undertaking special projects
- Assist with special events (Gala, Alumni Reunion/Homecoming, etc.). This includes, but is not limited to, preparing spreadsheets for RSVP lists, preparing nametags for attendees, assisting with invitations, ordering and wrapping gifts and giveaways, etc., and working at the event when necessary.
- Assist with travel preparations and expense reporting across team as needed
- General clerical duties include photocopying, scanning, mailing, data entry, filing and organizing, maintaining tax ID forms, expense forms, check request forms, etc.
Manage Alumni House Office Needs
- Keep office presentable and organized on a daily basis
- Maintain office supply inventory
- Coordinate maintenance of office equipment
- Submit maintenance requests for work to be done in Alumni House
- Receive and screen general phone calls and visitors to Alumni House
Position Requirements:
Demonstrate an outgoing personality with strong interpersonal skills that allow for effective relationships and interaction with all members of the MBS community.
Excellent verbal communication skills both in person and on the phone.
Strong organizational and time management skills; attention to detail; demonstrated ability to manage multiple projects.
Interacts with all members of the MBS community in a professional and respectful manner.
Demonstrated knowledge of Word, Excel, Google calendar and Google Docs, and Apple and experience with database input.

Director of Middle School Admission

Duties and Responsibilities
- Manage all aspects of admission processes for Middle School candidates from inquiry to post-enrollment.
- Plan and facilitate all Middle School admission events and engagements.
- Contribute to and support the strategic enrollment management plan and initiatives set forth by the Director of Enrollment Management.
- Lead retention efforts for current Middle School families.
- Participate in recruitment efforts and admission processes for Upper School candidates.
- Manage financial aid process for Middle School candidates.
- Participate as a member of the Financial Aid Committee.

Director of Special Events

The Morristown Beard School Office of Advancement is seeking a Director of Special Events with an enthusiastic “can-do” attitude, reporting to the Director of Advancement.
The Director is responsible for Morristown Beard School’s special events including creating, coordinating, and implementing all current and future School special events. The Director will be tasked with researching and securing venues, both on and off campus, planning and managing the School’s events’ calendar, negotiating quotes and agreements with vendors, assisting with event marketing, working collaboratively with school community members, be present at the events, and conducting post-event evaluations for improvements and enhancements of future events.
While many of the special events will be Advancement-driven, the Director will work with other departments across campus to ensure events, including recognition dinners, speakers, etc., are consistent across departments and accurately reflect the values of the School. The Director will support all areas of the School where hospitality is required.
Essential Functions
- Works closely with the Director of Advancement to create and direct engaging, creative, and successful fundraising and stewardship events.
- Establishes and builds relationships with a wide range of MBS community members, including Campus Operations and FLIK dining services, and is viewed as the event “expert” on campus.
